
Here is a recipe for success in a step-by-step format.
Step 1. Make sure you have performed all of the steps in FTE Recipe through step 6.
Step 2. Run Menu:7.5.1.1. Create New Worktable for the appropriate reporting cycle.
* Note: if you get a lot of errors on the summary screen, run Menu:7.5.1.9. Default Missing Data then go back and re-start at step 2.
Step 3. Menu:7.5.1.2. Print Error Report Examine this report carefully. Correct any errors that you can. If there is a number between the student name and the error message, that means you counted them in FTE and you need to make sure whatever the error is gets corrected. If you have Zero Days Enrolled or Enrolled After Count Date, double check the dates. Remember, if you are entering the enrollment into the computer after the count date, you must make sure the student enrollment date is correct. This 'Recipe' cannot teach you how to think.
Step 4. Menu:7.5.1.3. Create Export File for the appropriate cycle, then select 1. All Required Records on the Output Limit menu. Note the name of the export file. It will be the letter "S" + <Your ISD code> + <Your LEA code> + ".TXT". You will be asked if you want to copy it to a floppy. Your choice.
Step 5. Menu:7.5.1.4. Print Local Report for the appropriate cycle, then select 1. All Alpha from the Report Contents menu. Compare the numbers at the bottom of the report in the Summary section to the numbers you generated in the FTE process. They should match exactly! If they do not match, you need to examine both reports to determine where the error is. It will be a 'coding' error or you may have accidentally claimed some FTE you may not be entitled to. It may be helpful to print two local reports, one for Pupils only (2) and one for Participants only (8). This will make the job of comparing lists a lot easier.
STOP! You may not be finished yet. If the RECORDS WITHOUT UIC on the bottom of the SRSD Local Report is greater than 15% you will want to get UIC from CEPI.
* Run Menu:7.5.1.6.3. UIC Request File. Select the appropriate reporting cycle. You will be asked if you want to use the SRDATA.<cycle> file or the student Master. At this point in the recipe you should select "U" Use the SRDATA file. The request file will be named "UIC" + <Your LEA code> + ".TXT". This file should be passed on to the UIC Resolver person in your district. They will upload it to the CEPI website, which will populate the file with UIC and return it to your district.
* Run Menu:7.5.1.6.4. Import UIC Codes. You will be presented with a blue "STUREC(c) FILE FINDER" dialog box. Find the file that was returned, this is referred to as the 'Response' file. Some district's local software may change the name of the file. You must be aware of the actual name of the file returned to you. You may receive it on a floppy disk or it may come to you as an email attachment. If it is an attachment, save to your Sturec folder where you will be able to find it with the File Finder. If it is returned on a floppy, insert the floppy then press Escape in the File Finder to enter the floppy disk drive letter. Once you have selected the response file you will be asked if you want to proceed to open the UIC Source file. Answer Yes.
* If you imported one or more UIC codes, return to the top and perform steps 2, 4 and 5 again.
Step 6. Once the numbers on both sets of reports match, (see Step 5.) you may send the export file to whomever needs it next. The export file will be found in your Sturec folder. It will be named "S" + <Your ISD code> + <Your LEA code> + ".TXT".
